Please find below everything you need to prepare your presentation and e-Poster.
Important Checklist:
- Content is saved in PowerPoint format 16:9 widescreen.
- Content is in English.
- Presentation must include a disclosure slide.
- Presentation must be uploaded at the Speaker Preview Room on-site.
- e-Poster must be uploaded online by 18 March.
- Arrive at your session room early and introduce yourself to the session chairperson.
- No personal laptop/USB is allowed in the session rooms.
General Information
Registration
All speakers, chairs and presenters must be registered for the Congress in order to present and have access to the speaker preview room. When arriving at the Congress, please pick up your Congress badge from the registration area.

All speakers and presenters must check in at the Speakers’ Preview Room either the day before their session or at least two hours prior to it to:
- Upload their presentation.
- Complete your speaker consent form.
Please note: The use of personal laptops, USBs or other external hard drives in session rooms is not allowed.
Arrival At Your Session
- Arrive at your session room at least 10-15 minutes early.
- Report to the room attendant.
Presentation (Symposium, Course, Workshop) - Guidelines
Formatting and Media Requirements
- The orientation of the slides should be in landscape format.
- It is recommended that presentations are built in widescreen 16:9 aspect ratio.
- No custom fonts unless embedded. Unembedded custom fonts will not be displayed.
- It is recommended that all video files be embedded. External/unembedded video files must be named with the presenter’s name and slide number.
- It is recommended that embedded video is .mp4 encoded in h264, and not exceeding 1920×1080 pixels and 60 frames per second.
Conference Room Equipment
The Speakers Preview Room and the conference rooms will be fully equipped with computers supporting Microsoft PowerPoint© including all video codecs. Computers will be equipped as follows: Microsoft Windows 10 with Microsoft Office 2019 ©.
Conflict of Interest (COI)
All presenters must include a completed disclosure slide as slide 2 of their presentation.
What to do:
- Download the COI disclosure template.
- Declare any financial relationships or state: “No relevant conflicts of interest to declare.”
- Disclose off-label use of products if applicable.
- Ensure the slide is current as of your presentation date.

Chairperson – Guidelines
The Chairperson must arrive 10 minutes prior to the scheduled session to meet with the speakers and discuss the session format.
Announcement at Start of the Session
Please welcome everyone and announce at the start of the session that photography, filming, and video recording of presentations is strictly prohibited. Slides are protected by copyright. If you notice attendees taking photographs or filming, please repeat this message before the next presentation.
Timekeeping
The programme has an extremely tight schedule and therefore we kindly ask you, as a session Chair, to ensure that the session adheres precisely to the time schedule. Please remind the speakers of this when you meet with them and make sure they all keep to their allotted time and do not run over.
Discussion
Discussion of the presentation is important, therefore please ensure that the audience is given this opportunity. Please prepare some questions either before or during the session so that you can ensure that discussion is generated.
Absence of a Speaker
In case a speaker is not present, please include a break or give opportunity for additional discussion. Please do not let a speaker start his lecture at any other time than announced in the programme, as delegates move around sessions to listen to specific presentations.
Technical Informationn
Light, sound etc. will be controlled by the technical staff, who will be present during all sessions. The discussion microphone will be opened by the technician as soon as the session Chair gives the floor to the person who wishes to raise a question. When a question is raised, always repeat or rephrase the question.
Live Streamed Sessions
If your session is located in one of the following rooms, you will be provided with a tablet for Q&A from the virtual participants. The room attendant will brief you at the start of the session on how it works.

e-Poster Presentation – Guidelines
Session Format
- The e-Poster Presentation provides you with the opportunity to give a short oral presentation to an international audience at one of the e-Poster stations located in the e-Poster Area onsite, in Prague. The presentation will take place during the official breaks. Your e-Poster will also be available for open viewing during the event at any station and on the Congress virtual platform.
- Led by a session moderator, each presenter will have time for Q&A after the 3-minute presentation.
- Presentation language must be in English.

Quick Technical Requirements

- Indicate the e-Poster final ID on the upper right corner of the e-Poster.
- Do not overload your e-Poster. Remember, you are not writing an article.
- Keep it simple.
- Use 500 to 1,000 words (including title, figure legends and tables), not more.
- Graphics such as figures and tables can effectively convey more information than text, and should cover approximately 50% of the poster area.
- The average reader spends one to two minutes on your poster.
- Clearly state your AIM or HYPOTHESIS for this study/poster at the end of the introduction.
- Highlight your main findings that are directly relevant to the AIM or HYPOTHESIS.
- Your conclusions should directly address or answer your AIM or HYPOTHESIS.
- Use a constant font throughout the poster.
- Let your important points stand out. Use bold and colours as needed but avoid overusing them.
- If possible, avoid abbreviations and acronyms, especially in the conclusions.
- Feel free to provide one or more key references (in the lower right corner).
e-Poster Viewing – Guidelines
